What I’d want to get right in a scheduling engine like this, because these are where they break:
The decision logic belongs in one place, not scattered across IF nodes in five workflows. Rules for who gets assigned, travel time, priority and time windows should live in a single evaluable structure (a sub-workflow or a Python step) so you can change a rule without re-testing the whole graph.
Calendar sync is the classic source of quiet corruption. Double bookings and phantom slots come from non-idempotent writes and from treating a create as a retry-safe operation when it isn’t. Every calendar write needs an idempotency key and a reconciliation pass.
Vapi confirmations are asynchronous, so the call result arrives whenever it arrives. The webhook that receives it should be thin: write the raw result somewhere durable, then let a separate workflow apply it to the appointment. Otherwise a slow calendar API delays or drops a confirmation, and the customer’s “yes” gets lost.
And everything gets an error workflow with retries and alerts that carry enough context to see what broke without opening n8n. A silent failure in a scheduling engine means a technician doesn’t show up.
