Hi, I need a Vapi + n8n + Twilio integration built. Paid project

[HIRING] Vapi + n8n + Twilio Developer for Full AI Voice Agent Build (Paid Project)
Hi everyone,
I’m looking for an experienced automation engineer who can help me build a full AI voice agent system using n8n + Vapi + Twilio + CRM integrations.
This is a paid freelance project with clear requirements and a defined scope.
I’ll keep this as concise and technical as possible so you know exactly what’s involved.
:pushpin: Project Overview
I need to build an outbound AI voice agent (“Morgan”) that will:
Call prospects from a lead list
Qualify them using structured criteria
Book meetings into a scheduling system
Score the lead in real-time
Trigger alerts for high-intent leads
(Optional add-on) Live human handoff using Twilio conference
All of this needs to run through n8n workflows acting as the backend glue layer.
:puzzle_piece: Core Requirements

  1. Vapi Voice Agent Setup
    Natural, robust conversation design
    Interrupt handling
    Memory state management
    Event/webhook routing into n8n
    ElevenLabs voice integration
    Structured prompting for qualification logic
  2. Lead Management + Scheduling
CSV upload (Name, Company, Phone, Context)
Controlled calling times (e.g., 09:00–17:00 weekdays)
    Auto-dial through list
Meeting booking via API (Calendly/Google Calendar/etc.)
  3. Real-Time Lead Scoring Engine
    Scoring based on:
    • Budget mentioned
    • Timeline urgency
    • Office size requirements
    Confidence score output (0–100%)
    Hot lead detection (90%+)
  4. Alerts & Notifications
    SMS/email alerts
    Optional Slack or Teams webhook
    Structured JSON payloads
  5. CRM Integration
    HubSpot, Salesforce, or Pipedrive
Log call outcome, transcript, recording URL
    Update lead stages automatically
  6. Optional Premium Feature — Live Handoff
If you have experience with Twilio conference flows, please mention it.
    This feature includes:
    Creating a conference room
    Moving caller → conference
    Dialling in a human agent
AI steps back once handoff completes
    Latency target 8–15 seconds
    :hammer_and_wrench: Tech Stack
    You must be comfortable with:
n8n (webhooks, conditional logic, CRM modules, async workflows)
    Vapi.ai (events, functions, call flows)
Twilio (voice, outbound calls, conference API)
OpenAI / ElevenLabs (integration level only)

I am only open for remote oportunities for now

If you need I am available here:

Here is my portfolio:

I’m also a full-stack developer with the right Gen AI experience, which makes me a solid plus for your team[but right now only vibecoding]

Check my recent gen ai projects… I built a native Android automation agent too. It’s worth a look:

I can build complex AI automations directly in code, not just inside n8n.

I recently started posting my n8n work on YouTube with explanations:

Fun fact… I even made an n8n workflow to find a few n8n project leads for myself :skull::skull::skull: so I truly believe in what I do…

I started asking My recent clients for honest feedbacks so here is one testimonial: https://www.youtube.com/watch?v=TqBy3SVCHgQ&list=PLAJltY5bp6yiZ3sFBjm7bfrkLXSGtJX8m

Hey, this kind of announcemnts if honestly are not at last filled with an official domain url that links somehow to this post, is just spammy for me, and outsourcing definetly will lead to a poor product… lol.
Have fun.

This project fits very closely with the systems we build at Hashlogics.com, where our team can deliver full AI-voice pipelines using Vapi + Twilio + n8n with structured scoring, CRM syncing, and clean event-driven call flows. We’ve implemented outbound agents, multi-turn state management, qualification logic, and live human handoff patterns across several client deployments.

For context, one of our flagship automation builds is our ESG Sustainability Platform — a full compliance automation system that collects disclosures, validates evidence, and generates audit-ready ESG reports in real time: :open_file_folder: Full Case Study.

We applied the same orchestration patterns in QA.Tax, an IRS “Escape Plan” assistant that interprets complex tax rules, reviews uploaded documents, and generates personalized actions. A short walkthrough — it shows how we handle structured prompting, memory, evidence extraction, and deterministic scoring logic.

On your scope, everything is well-defined. The only items worth clarifying live are the exact scoring formula, how state should be persisted back to Vapi mid-call, the CRM field mapping, and the latency expectations for the live handoff. Our company rate ranges $50–$80/hr (negotiable), but the most accurate approach is to have a short call, break the requirements down module-by-module, and confirm if anything is missing before estimating the Base System and the Handoff module.

Happy to walk through how we’d implement it step-by-step whenever you’re ready!

Hey B10_Jr

I got you, I have been building all forms of automations for the past 2 years and have built 100s of flows for my clients. Have worked with all sorts of companies and gotten them 10s of thousands in revenue or savings by strategic flows. When you decide to work with me, not only will I build this flow out, but also give you a free consultation like I have for all my clients that led to these revenue jumps.

I have built a similar workflow like this for one of my clients. I can not only share that but also how you can streamline processes in your company for faster operations. All this with no strings attached on our first call.

Here, have a look at my website and you can book a call with me there!

I saw your paid n8n requirement and built a small runnable proof tailored to it.

Proof repo: GitHub - gagan114662/vapi-twilio-n8n-proof · GitHub

I would start with a paid proof milestone, validate it against sample data, and only then expand the build.

Runnable proof: GitHub - gagan114662/vapi-twilio-n8n-proof · GitHub

Suggested starter acceptance criteria:

  • Vapi events arrive in n8n with a stable request/call id.
  • Twilio handoff paths are dry-run validated before any live call mutation.
  • Lead score, transcript URL, and CRM update payload are logged.
  • Failure states produce an alert without duplicate retries.

Hi,

I can help with this integration.

A clean first version would probably be:

  • Twilio receives/handles the call
  • Vapi manages the voice agent logic
  • n8n receives call events through webhooks
  • n8n logs call data, lead details and status
  • optional follow-up via SMS/email/CRM
  • error handling for failed calls or incomplete data

Before building, I’d clarify:

  1. Should Vapi answer inbound calls or trigger outbound calls?
  2. Where should call summaries and lead data be stored?
  3. Do you need appointment booking or only call handling/logging?

Happy to help structure the workflow.

Hi,

Vapi + n8n + Twilio is a stack I know well. The architecture you’ve described — outbound dialer, real-time lead scoring, meeting booking, high-intent alerts, and optional conference handoff — is a well-scoped project.

On the n8n backend side, I’d structure this as:

  • Webhook receiver for Vapi call events (call started, transcript segments, call ended)
  • Real-time qualification logic in Code nodes evaluating against your scoring criteria
  • Calendly/Cal.com API for meeting booking triggered on qualified leads
  • Slack/email alert for high-intent scores (threshold-based)
  • Twilio conference bridge setup for human handoff on demand

I have production experience with WhatsApp Business API + n8n state machines (similar event-driven webhook architecture), and I’ve integrated CRMs via REST APIs for lead record updates.

Happy to review your full spec. narotsuhail@gmail.com or DM here. Available to start immediately.

Hi @B10_Jr — I can help with a bounded first version of the Vapi + n8n + Twilio system.

For this kind of outbound voice agent I’d start with one safe vertical slice:

  • lead row/API input → call trigger,
  • structured qualification fields from Vapi,
  • CRM/Sheet update with score and transcript/summary,
  • booking or handoff branch,
  • Twilio/Vapi error handling and retry limits,
  • simple operator review log so bad calls or edge cases are visible.

That keeps the first milestone testable before expanding into the full agent. Happy to help with a paid build slice or technical setup review.

Hi. I can help with the Vapi + n8n + Twilio build, but I would keep the first milestone in sandbox/test mode and only move to live outbound calls after your compliance and consent rules are clear.

A good paid Phase 1 would be: lead intake schema, one Vapi/Twilio call path using test numbers, structured qualification output, CRM update, meeting-booking handoff, retry/error logs, and a short runbook. That proves the architecture without risking uncontrolled calling.

Do you already have the CRM and scheduling tool selected, and should the first test flow qualify leads only or also book a meeting?

I would split this into a small paid Phase 1 before quoting the full voice-agent system.

For Phase 1, the useful deliverable would be:

- one test-mode Vapi/Twilio path

- structured call outcome payload

- CRM or calendar handoff stub

- retry/error log

- clear consent and live-number boundary

- short handoff notes for what needs to be connected before production

I would not start with live customer calls. Fake/test numbers and sample CRM records are enough to prove the flow shape before production credentials are connected.

Interested! I’ve built similar AI voice agent systems using Vapi, n8n, Twilio, OpenAI, and CRM integrations. You can see examples of my work here: My Portfolio
Happy to discuss the project—available to start immediately.

Hi, this is a bigger build, but I would scope the first milestone very tightly so it is testable.

My proposed first slice: lead list → Vapi/Twilio call event → n8n webhook → qualification fields/score → CRM update → calendar or Slack alert → failure log. That proves the core loop before adding all edge cases.

I recently built a support automation demo with routing, state handling, AI-assisted replies, handoff, tests, and docs. My strongest fit here is the n8n/CRM workflow layer, testing, handoff logic, and making the automation inspectable.

If you are still hiring, what CRM and scheduler are you planning to connect?
