  • Project & Delivery Management: Leading internal dev/design projects, managing freelancers, and ensuring deliverables meet quality and architecture standards.

  • Systems & SOPs: Writing clear operational documentation and continuously optimizing agency workflows.

Requirements & Tech Stack

  • Expertise in n8n & Make.com: Advanced workflow design, self-hosting/deployment concepts, custom Webhooks, JSON parsing, JS/Python code nodes, Error handling, and API calls.

  • Daily hands-on AI usage: Deep integration experience with LLM APIs (ChatGPT/OpenAI, Claude, Gemini) and AI Agents.

  • PM & Ops Experience: Proven background leading digital projects or operational teams inside a startup or digital agency.

  • Tooling: Proficient in Google Workspace, ClickUp/Asana/Notion, WhatsApp Business API integrations, and modern PM tools.

  • Mindset: Extreme ownership, self-driven, and obsessed with system scalability and clean workflow architecture.

Perks & Contract Details

  • Type: Long-term, ongoing renewable contract (Project/Contract-based).

  • Location: 100% Remote.

  • Hours: Flexible hours

  • Growth: High potential to step into a core leadership role as the agency scales.

How to Apply

Please drop a reply or private message with:

  1. A brief introduction & your background in automation/operations (mention any experience with Middle East / GCC projects).

And done many other big projects too which are under NDA’s so technically I can’t reveal them.

Hello @Blumark_24, welcome to n8n community I can help with this. I build Make.com and n8n automations with error handling, tests and a walkthrough so your team can run them.

Answering your five points directly.

1. Background

I run Pathfinder Automation Solutions. N8n Expert, Make Expert, Zapier Expert, Top Rated on Upwork with 100% job success. Most of my work is multi-system integration plus AI agents on WhatsApp and voice. I also run delivery, write the documentation and manage freelancers, so the ops half of this role is familiar ground.

2. Daily stack

Make.com primarily, n8n when self-hosting or heavy processing is needed, Zapier where the client already lives there. Claude daily including Claude Code, plus OpenAI and Gemini depending on cost and task. Supabase, Airtable, WhatsApp Business API, Twilio, Google Workspace APIs, Notion and ClickUp.

3. Two builds

AI sales agent for a mobile DJ company. Marketplace leads trigger an agent that qualifies by date, venue and package, handles the back and forth over SMS through Twilio, and books into Calendly. Required A2P 10DLC registration, a conversation state machine so context survives between messages, and an on/off switch for the owner to take over mid-conversation. Live.

Inventory and work order automation on SOS Inventory for a US manufacturer. Make scenarios against an API with a hard 500ms rate limit, so a throttled queue with retry plus a reconciliation pass so nothing fails silently. Heavy JSON parsing, data stores for state, error handling on every branch.

Also currently delivering a two-phase Karbon to Google Workspace to RingCentral identity and communications integration for a US accounting firm.

4. Availability

GMT+1, already working US and Gulf hours daily. 25 to 30 hours a week, flexible, with real overlap on Saudi time.

5. Biggest from scratch

The DJ sales agent, end to end. Discovery, architecture, Twilio and A2P registration, the agent, calendar integration, documentation, handover, and ongoing monthly support.

Happy to screen share a live scenario so you can see how I structure error handling and data stores rather than taking my word for it.

I’m Matt, a solo developer, and I build automation with n8n, Supabase, and Postgres, so this role caught my eye.

I built a system where a Twilio voice webhook fires on a missed call and a Supabase edge function sends an automatic SMS back within seconds, logged to Postgres for follow-up tracking.

To be upfront, I haven’t shipped Make.com or the WhatsApp Business API specifically. My closest proven work is Twilio SMS and voice webhooks and Telegram bots, which use the same webhook, message-flow, and CRM-logging patterns. I’ve also shipped with the Claude and OpenAI APIs, including RAG on pgvector, and PDF-to-structured-data extraction.

Here is how I’d start:
(1) map your most repetitive internal bottleneck and define the webhook inputs and data model in Supabase/Postgres; (2) build the n8n workflow with LLM calls, error handling, and logging; (3) write it up as a clear SOP so your team can run and extend it.

Happy to talk - reply here or DM me.

Which operational bottleneck would you want automated first?

Hi @Blumark_24, this is exactly the kind of opportunity I’m looking for.

I’m Muhammad, CEO of AI Coders. I’m directly available for a full-time/long-term role, and I also have a full engineering team behind me through AI Coders for larger delivery needs.

I’m an n8n Certified Expert, n8n Verified Creator, and n8n Community Node Builder, with hands-on experience building AI agents, advanced n8n/Make workflows, WhatsApp automations, API integrations, CRM systems, custom software, and production automation.

Your focus on building an AI-first operational hub, WhatsApp AI systems, internal automations, content workflows, and scalable agency operations is very aligned with what I do.

I’ve worked with international clients and teams, and I’m comfortable taking ownership from architecture and implementation through testing, documentation, troubleshooting, and ongoing optimization.

You can check my work and AI Coders here:

I’m based in Karachi, Pakistan and available remotely. Would love to connect and discuss how I can contribute to your team.

Your WhatsApp Business API + CRM integration caught my attention — that’s a technically demanding stack that most automation generalists fumble badly.

For Blumark_24’s AI-First operational hub, I’d build a core n8n instance handling the WhatsApp Business API flows, routing inbound messages through LLM agents (OpenAI or Claude depending on latency needs) and writing structured outputs back to your CRM via webhook. The content engine runs as a separate workflow cluster — trigger-based, multi-channel, with image and copy generation piped through scheduled publishing nodes. Error-handling branches and Notion-based SOP documentation get built in from day one, not bolted on later.

I run Occelatus Labs, a done-for-you automation shop focused on n8n builds, API integrations, and AI-driven data pipelines. 200+ production workflows delivered across agencies, SaaS platforms, and ops-heavy businesses — including several MENA-adjacent client environments.

One question before we scope this properly: is the CRM already selected, or is stack selection part of what you need help with first?

Hi Blumark_24,

I’m Khubaib, an n8n builder. I’ve built AI-driven automation systems including an AI voice agent that answers calls, qualifies leads, and books appointments straight into Google Calendar, and a lead response system that captures leads from multiple sources, qualifies them, books meetings, and follows up automatically. I’ve also built a multi-channel ecommerce sync and an AI operations assistant connecting Gmail, Sheets, Calendar and task management through one agent.

I want to be upfront about where I don’t fully match what you’re asking for:

  • My hands-on stack is n8n, not Make.com. I haven’t built in Make professionally.
  • I haven’t built a production WhatsApp Business API integration yet, though I’ve worked with WhatsApp triggers in n8n and understand the setup.
  • I work solo today. I don’t have a track record managing freelancers or running agency-wide SOPs and project delivery, which this role asks for.

Where I do fit: daily hands-on use of LLM APIs (OpenAI, Claude, Gemini) inside AI agents, advanced n8n workflow design including webhooks, JSON parsing, code nodes, and error handling, and a habit of documenting what I build.

I don’t have Middle East/GCC project experience specifically.

Availability: 20-30 hours/week, UTC+5, flexible.

Biggest system I’ve managed start to finish: the ecommerce sync, three separate n8n pipelines (listing sync, stock sync, daily reconciliation) sharing one Supabase table as the single source of truth, with an AI rewriting step and a Slack approval gate before anything goes live.

If a narrower, project-based slice of this makes sense, for example the n8n automation and AI agent work without the PM/ops and Make.com side, I’d be glad to talk about that.

Hi @Blumark_24, I’m Koray, writing from Türkiye (UTC+3, so a full overlap with Riyadh hours).

I build n8n and Claude/OpenAI automations for small businesses, mostly WhatsApp-facing. The one I’m building now is a WhatsApp AI assistant line for a Turkish metal-fabrication shop: intent routing, quote intake, hand-off to a human when the model is unsure. Daily stack is self-hosted n8n with code nodes, the Claude and OpenAI APIs, Python MCP servers (two of mine are in the official MCP registry), Google Workspace and Notion. Public workflows are at github.com/koraynar/n8n-ai-workflows.

Two things to say plainly: I have not worked in Make.com, and I have not managed an agency ops team. My background is solo builder plus running multi-agent AI pipelines with review gates, not PM. No GCC projects yet either.

The biggest system I ran from scratch was an 18-account Google Ads affiliate operation, including the click-to-payout reconciliation that showed where the reported numbers and the paid numbers disagreed.

Around 20 hours a week to start, flexible on which hours. I’m trust level 0 here so I can’t PM; my email is on my GitHub profile. If the build half of the role matters more than the PM title, I’m happy to walk you through a workflow on a screen recording.

Hi, this sounds closely aligned with the automation work I do. I work with n8n, Make, AI/LLM APIs, webhooks, WhatsApp integrations, CRM systems and multi-step business workflows.

I’m based in Nigeria (WAT, UTC+1), not the MENA region, but I’m flexible with working hours and can overlap with your team’s timezone.

I’ll send you a DM with my background, availability and a couple of relevant workflow examples.

Hi @Blumark_24,

I’m Cindy. I run Advanced AI Automation from California. Before this I was a Director of Nursing for 20 years at a surgery center, running the staff, schedules and procedures. Managing people and writing clear processes is what I did every day. I haven’t done any Gulf projects yet.

My daily stack is Claude every day (the API and Claude Code), Make and n8n, OpenAI and Gemini when they fit, Google Workspace, HeyGen, Blotato and Instantly, plus Python for anything heavy.

Two things I’ve built:

  1. My own content engine, which is pretty much your third point. It writes the scripts, makes avatar videos of me and faceless shorts with voiceover and captions, writes LinkedIn posts, and schedules all of it to YouTube, Instagram, Facebook, LinkedIn and TikTok. Nothing posts until it passes two checks: rules in code, then a second AI that looks at the frames and captions. It runs every day without me touching it, and it’s the biggest system I’ve built from scratch.

  2. A cold email system. It pulls leads, verifies the emails, has Claude write each email for that specific business, and blocks anything that fails a check before it gets loaded.

I’ll be upfront that I know the WhatsApp Business API rules, like the 24-hour window and templates, but I haven’t put a WhatsApp system live for a client yet.

I can do 20 hours a week to start. I’m on Pacific time and start at 8 a.m., which is late afternoon your time, so we’d overlap at the end of your day. My rate for ongoing work is $50 to $75 an hour, depending on the work.

Happy to screen share the content engine so you can see it run.

Hi Blumark, would you consider a separate contributor for one n8n/API module while you hire the operations lead?

I’m Xiaolong (Menwo), working with an engineering partner who has ten years of experience. Our public independent RFQ prototype uses n8n, Python/FastAPI and Excel output.

It takes an RFQ input through validation and a review queue before generating a quote. It’s a tested sample, not a GCC client case or a claim of agency operations experience. I’d propose USD30 for one agreed webhook-to-API workflow with error routing, source, checks and one revision.

I’m available 10+ hours/week for communication in UTC+8; my partner has 20+ hours/week across projects for complex development and review. Is there a small build task in your backlog that could be scoped separately?

Hi — I build exactly this: n8n/Make automations with AI + CRM + WhatsApp flows, plus human-in-the-loop where it matters. I’ve shipped a working intake system (form → AI triage → human approval → reply) and MCP tooling with real auth and tests. Hands-on, remote (CET), and happy to start with a small paid task so you can judge the work before committing. Want 1-2 relevant flow examples, or a quick call? — Mario

Hi @Blumark_24 — would you consider a separate, bounded n8n contributor while you hire the operations lead?

I’m Fedir. My current evidence is an AI-assisted local n8n 2.41.4 prototype: a webhook accepts synthetic enquiries, checks required input and returns a structured result; invalid input is rejected. External AI and Telegram were mocked. I do not have verified production Make/WhatsApp deployments, GCC projects or agency-management case studies to claim.

Demo: https://inquiry-intake-pilot.fc7nsswcts.chatgpt.site — synthetic examples, not client work.

For a small backlog task, my proposed fixed fee is US$250 for one agreed webhook/JSON validation-and-routing module: one input, up to ten fields, one structured output or human-review handoff. Delivery would include workflow JSON, agreed valid/invalid test results, setup notes and one in-scope correction. A target of three business days would be confirmed after reviewing the sanitized input/export, your required output and hosting version, before any commitment or paid work. New integrations, production deployment, external API costs and extra workflows would need separate agreement.

Do you have a funded module like this in your backlog? If so, what input/output, budget and target date would make it useful? No private records or credentials in a public reply, please.

Hi @Blumark_24,

I’m Ryan, based in Indonesia (GMT+7, four hours ahead of Riyadh, so a full overlap with your working day). Answering your five points:

1. Background
I run theflowbiz, a small company that builds and operates WhatsApp AI sales agents for online stores, and before that I co-built a 19-person D2C brand where I ran operations and built the whole automation layer myself. So I sit on both sides of this role: I build the workflows, and I’ve led the people who use them (CS team, warehouse, ads). No GCC projects yet, to be upfront. My clients are Indonesian SMEs in a Muslim-majority market, which I expect overlaps with some of yours.

2. Daily stack
Self-hosted n8n (webhooks, Code nodes in JS, sub-workflows, error workflows, Postgres nodes), WhatsApp Cloud API (templates, the 24-hour window, media), Gemini and Claude APIs, Supabase/Postgres for state and memory, Meta / Shopee / TikTok Shop APIs, plus Claude Code daily for building. Make.com: honest gap, I haven’t run it in production; n8n is my main tool and the patterns carry over.

3. Two real workflows

  • WhatsApp AI sales engine. Buyer messages the store, a debounce step waits for the full burst of messages, the agent searches that store’s catalogue and FAQ in Postgres, answers, quotes, collects the order and hands over to the owner. Prices, links and appointment times are checked in code against the database before anything is sent, so the model can’t invent them. Live for 10 paying stores, about 16,700 replies to real buyers since August. Each store has a simple live-chat dashboard so the owner can take over.
  • Marketplace order and shipping sync. Shopee and TikTok Shop signed API calls with token refresh, idempotent upserts keyed on the platform order ID, and a daily reconciliation run that re-pulls anything missed, feeding shipping updates to a WhatsApp group.

4. Availability
30-40 hours/week, long-term. GMT+7, comfortable working your hours.

5. Biggest system from scratch
The multi-client WhatsApp AI platform above: one shared n8n stack and database serving every store with its own catalogue, prompt and guardrails, plus monitoring for failed executions and a two-step test routine (a simulator that replays real buyer conversations against the production prompt, then a test from a real phone) before any change goes live. I also write the SOPs and onboarding for non-technical store owners.

Happy to screen share the workflows on a call.

Ryan Fahlepie

Hi,

I came across your post and I am very interested in this opportunity.
The combination of AI-first operations, n8n/Make.com, WhatsApp AI, CRM integrations, and building scalable internal systems is very much aligned with the work I do.

I’m a hands-on AI automation and systems builder with experience designing and implementing end-to-end workflows using n8n, Make.com, LLM APIs, webhooks, REST APIs, JSON, JavaScript/Python, AI agents, and third-party integrations.

I particularly enjoy taking a manual or messy operational process, understanding the underlying business logic, and turning it into a reliable, scalable automation rather than simply connecting a few tools together. I’m also comfortable with workflow architecture, error handling, API integrations, documentation, optimization, and ongoing maintenance.

My day-to-day AI/automation stack includes n8n, Make.com, OpenAI/ChatGPT, Claude, Gemini, APIs, webhooks, JavaScript/Python, CRMs, Google Workspace, and various SaaS integrations.

I have several real-world automation systems and AI workflows I’d be happy to showcase. I prefer to walk through them privately rather than post client/project details publicly, so I’d be glad to share screenshots, workflow architecture, and live/Loom walkthroughs during a call and explain the technical decisions behind each system.

I’m available 30–40 hours per week, currently on EEST (UTC+3), and I’m flexible with the client’s timezone and working hours.

I’d be very interested in learning more about the systems you’re currently building and the operational bottlenecks you’re looking to solve.
If you think my background could be a good fit, I’d be happy to arrange a call and walk you through my previous work.

Thanks.

Hi,

Short version: I build things that run, not decks about things that might run.Specifically multi-agent lead systems, WhatsApp automation and n8n workflows in production.

What is already live:

A lead generation and outreach system holding roughly 5,000 prospects:

- Discovery from Google Maps, municipal pages and Facebook, by sector and trade

- Fit scoring 1 to 10, with the deciding factors shown per record so a human can

see why something got flagged

- Enrichment: website detection, quality grading, logo extraction

- Email, WhatsApp and AI agent follow up, states tracked through the sequence

- Official APIs only, nothing that breaches a platform’s terms

Also a live French AI receptionist running on n8n, handling web and WhatsApp

conversations, booking and lead follow up end to end.

On the stack you asked about

n8n is where I work. Make as needed. Webhooks, JSON, custom code nodes in JS,

LLM APIs across OpenAI and Claude, error handling and retries. Go High Level I

have not built in yet, but the CRM patterns transfer directly.

On GCC experience

I don’t have Middle East projects, and I’d rather say that than dress it up.

What I do have is 20 years sourcing technology and clean energy in China, which

means I can judge whether a supplier or product claim holds up. On an agency

building for MENA clients that tends to matter more than a logo list.

Availability:

Thailand, UTC+7. Overlap with your afternoon (AST, UTC+3) is roughly 4 hours,

full afternoon and evening with Gulf and Europe. Flexible on hours, committed

to overlapping the working day.

Biggest system built from scratch

The 5,000 prospect pipeline above. Went from zero to running, and it now

supports my own client work.

Happy to walk through any of it on a call.

Hi Blumark, this sits squarely in what I do all day.

I’m Sami, I run Sami Automates, an AI automation practice based in Pakistan. I build booking systems, AI voice receptionists, and WhatsApp automation for service businesses, with n8n as my daily driver. I’m on PKT (UTC+5), two hours ahead of Riyadh, so Gulf working hours are covered without any stretch.

My daily stack: n8n (self-hosted and cloud), OpenAI/Claude/Gemini APIs, Vapi and Retell for voice, Twilio for messaging, WhatsApp Business API, Supabase/Postgres, and JS/Python code nodes inside workflows for the parts that need custom logic.

For the showcase part: the biggest system I’ve shipped from scratch is a client SaaS (Abrevia), Next.js app, Supabase with row-level security, a Twilio voice and messaging inbox, all wired into an n8n automation layer handling the intake and follow-up logic. Before that, an LMS (Agentix Squad) with n8n webhook intake and approval workflows. I can share screenshots and a walkthrough video of both, plus the workflow architectures.

Availability: full-time, flexible on hours, happy to align standups and reviews to your team’s schedule.

One honest note: my deepest expertise is n8n. I work with Make scenarios as well, but n8n is where I live. If that split works for the role, I’d like to talk. Sending you a DM with the demos.

Hi @Blumark_24,

I’m Ramy, founder of RIES FACILITY (France), a small process-automation practice built on n8n. I speak Arabic (conversational, Egyptian dialect), French and English. No GCC client project yet, I prefer to say it upfront.

Background: since 2020 I’ve coordinated projects and operations at a construction finishing-works contractor (schedules, budgets, subcontractors, site teams). There I automated email triage, invoice extraction and classification, reporting and document generation with n8n, Make and LLM APIs.

Daily stack: n8n (webhooks, Code node in JavaScript, sub-workflows, error workflows, retries, deduplication), Make for simple SaaS links, OpenAI and Claude APIs, Google Workspace, Supabase/Postgres. I also build software in React/TypeScript with Claude Code.

Showcase:

  1. PDF invoices → extraction → automated checks (missing fields, totals, duplicates) → human approval → Excel export.
  2. CV PDFs → job-fit scoring against the job description → recruiter approval → Excel, with an optional Claude summary.
Both run on fictitious data and were built with AI-assisted tooling; happy to walk you through them on a call.

Biggest system: CLARIO, software that helps law firms prepare and check their case documents (React + TypeScript + Supabase), currently in development.

Availability: part-time, flexible hours including daytime, Paris time (one hour behind Riyadh).

Hi — I can help with Hiring Senior AI & Automation Operations Lead (n8n & Make Specialist) | Remote. My approach is to first map the required outcome and dependencies, then build the smallest reliable workflow around n8n/API workflow automation, reliable integrations, monitoring, and handoff-ready documentation. I can work asynchronously, document the implementation, and include QA plus a clear handoff. I reviewed the brief and noted:

About the Role

We are a Saudi-based AI & Digital Transformation Agency building end-to-end digital systems, WhatsApp AI engines, process automations, and CRM integrations for fast-growing businesses in the Arab world and MENA region.

We are looking for a Hands-on AI & Operations Lead to help us build a fully AI-Fir. For a first engagement, I prefer a small fixed-price milestone with clear acceptance criteria, then a larger implementation only after the first slice is validated. I will not claim client results or capabilities that I cannot evidence. Best, AI Automation Studio
