How We're Using n8n to Automate Client Onboarding & Creative Project Management at a Branding Agency

We’re a branding and design agency working with businesses across packaging design, brand identity, websites, social media, and marketing campaigns.

As our client base grew, we realized our biggest bottleneck wasn’t design—it was the repetitive administrative work before and during every project.

We started building automations with n8n to reduce manual tasks and improve collaboration between our strategy, design, and client servicing teams.

Every new project followed the same repetitive process:

Step 2 – Client Qualification

Based on predefined rules, the workflow categorizes the inquiry into services such as:

The project is then routed to the appropriate team.


Step 3 – Automatic Project Creation

n8n automatically:

  • Creates a project folder in Google Drive

  • Generates a naming convention for files

  • Creates a task board in ClickUp/Trello

  • Assigns team members

  • Sets deadlines

  • Creates milestone checklists

No manual setup required.


Step 4 – Client Welcome Kit

The client automatically receives:

  • Welcome email

  • Brand questionnaire

  • Project timeline

  • Document upload link

  • Meeting scheduling link

Everything is delivered within minutes of project confirmation.


Step 5 – Internal Notifications

The relevant teams receive notifications with:

  • Project type

  • Client details

  • Timeline

  • Priority level

  • Assigned responsibilities

This ensures everyone starts with the same information.


Step 6 – Design Review Workflow

Whenever a designer uploads a new version:

  • The client is notified automatically.

  • Review links are shared.

  • Feedback is collected in one place.

  • Revision requests are logged.

  • Designers receive instant notifications.

This reduces long email chains and keeps approvals organized.


Step 7 – Project Progress Updates

Clients receive automated milestone updates such as:

  • Discovery Completed

  • Strategy Approved

  • Design Concepts Ready

  • Revisions in Progress

  • Final Delivery

  • Project Completed

This improves transparency without requiring manual follow-ups.


Step 8 – Project Completion

Once the project is marked complete, n8n automatically:

  • Sends the final asset delivery email

  • Shares download links

  • Requests client feedback

  • Sends an invoice (if applicable)

  • Archives the project

  • Creates a follow-up reminder for future engagement
