More organisation sharing options

The idea is:

I use n8n cloud and would like more options to share my workflows with my other users in the organisation:

  1. Automatically share a workflow with everyone
  2. As an admin, be able to share other people’s workflows

I think it would be beneficial to add this because:

Sometimes another user may need to edit a workflow, but it has not been shared with them.

Thanks a lot for this feedback, these features make a lot of sense and we will take them into account for Sharing next steps.

Apart from this, can I ask you how was your experience using Sharing so far?

Hi @romain-n8n,

I can share my own experience regarding workflows users and access rights management: this is definitely a nightmare on a daily basis ! I’m the instance owner, and with this responsibility that I cannot share with other users yet (one single owner per instance), I have to find the the owner of each workflow to ask him to individually share with specific users.
We currently have 15 users and more that 150 workflows (tests + prod) and I spend a huge amount of time everyday to fix access rights

I see 3 ways to fix that issue:

  1. Make several persons owner of a workflow (or create a new role to allow several persons to manage sharing of a workflow)

  2. A workflow owner should be able to transfer ownership to someone else

  3. As an instance admin, I should be able to transfer ownership to myself or someone else (today this is only possible if I delete a user)

Hi @Yoann Jonathan here. I’m one of the PM’s at n8n currently looking at ways we can improve our workflow/credential sharing and user access management.

Thanks so much for the feedback and the details on how you’re managing things. That’s super helpful. I can totally see how it’s a little painful for you right now though, so I’m sorry about that. The good news is that we’re currently working on a few things to improve this which should help ease some of this friction. Will certainly share any progress related to this in the near future.

In the meantime, with regards to the feedback you’ve provided here and a few other threads, would you be open to jumping on a quick call to discuss in more detail? Would love to dig into a few things you shared that would be really useful to help clarify some of our thinking. Let me know if you would be up for that and I can send over something directly to schedule a suitable slot.

Hi @j.c ,

Glad to hear that this is a topic n8n plans to move forward. I will be pleased to discuss this topic with you and share my end-user experience. Please refer to my direct message
