At Pocket Ninja LLC, we’ve been harnessing n8n for powerful automation solutions, and a recent project landed us a client! Today, we’re excited to share how we’re building a custom app with n8n and Nuxt.js to streamline expense and timesheet logging/approval, replacing tools like Expensify and integrating Workyard for job creation. ![]()
The Challenge 
Our client was stuck with inefficient processes: disconnected tools, slow approvals, and technical/human errors. They needed a single, streamlined app to manage expense and timesheet workflows, with Workyard handling project setup.
Our Solution 
We built a custom app using n8n for automation and Nuxt.js for a user-friendly front-end:

Job Sync: Pulls project data from Workyard’s API to set context.

Input: Nuxt.js forms for seamless expense/timesheet submissions.

Validation: n8n logic nodes check for errors.

Approval Flow: Routes requests to managers, auto-approving simple cases.

Email Automation:

Weekly summaries of unapproved jobs.

Budget and hour reconciliation emails.

Optional notifications for new expenses/timesheets.

No code to share (client privacy), but envision n8n webhooks and logic paired with Nuxt.js for a polished UI.
