My name is Sydnee. I’m a teacher by day, and I’ve recently started using my tech skills to help small businesses run smoother through smarter systems and automations.
Right now, I’m building a custom booking and session tracking system for a swim school called I Can Swim, which offers private and adaptive swim lessons (including special needs students). We’re moving away from Setmore and building a front end in Softr, with Airtable as our backend. I want to use n8n to automate the entire workflow, but I don’t just want someone to build it for me—I’m here to learn how to build it myself.
What I’m Trying to Build:
Swim Lesson Booking Workflow:
Admin Creates Sessions (via Softr → Airtable)
Fields: date, time, instructor, session type, capacity
Automation: make sessions visible only to eligible clients (based on status or swimmer type)
Clients Book Sessions (via Softr portal)
Automation: link swimmer to session, update session count, confirm booking, prevent overbooking
Attendance & Session Tracking
Instructor marks attendance
Automation updates swimmer’s lesson count and tracks used vs. remaining sessions
Cancellations & Spot Refill Agent
When a session is canceled, I want to trigger a logic-driven flow that:
Identifies eligible swimmers who still have sessions left
Prioritizes based on need (missed sessions, long wait, etc.)
Automatically reaches out via SMS or email with the booking link
Reminders & Notifications
Automated reminders 24 hours before each session
Alerts for low session balance or last-minute openings
Why I Need a Tutor:
I’m hoping to grow into a role where I help other small businesses do the same—build smarter systems without needing a dev team. I’m comfortable learning, I just need someone who can walk me through the why and how of the n8n logic so I can scale and customize for future clients.

I’m comfortable enough with JavaScript to follow what’s happening and make small tweaks, but I’m still learning how to really use it confidently—especially inside n8n where the structure is a little different than what I’m used to.
I’m not afraid to dig in and figure things out, I just learn best when someone can show me how things connect and explain the why behind the logic. I’m hoping to understand how to build clean, scalable flows so I can start doing this for other businesses too—not just copy/paste my way through it
