🚀 How n8n Helps BikUp Automate a Fast-Growing Marketplace from Marketing to Accounting

Hi everyone!
I’m Hugo, co-founder of BikUp, a fast-growing bike-rental marketplace launched in early 2025. We help people all across France rent their bike (cargo, gravel, road, e-bike…) to others nearby. Think Airbnb, but for bikes — simple, local and sustainable.

We’re only two running the entire company, and the growth has been intense. With traction comes responsibilities:

  • regulatory obligations,

  • financial reporting,

Very quickly, we realized that we couldn’t scale without automation.

Here’s a concrete overview of what we automated using n8n.

1. Marketing & User Activation

  • Automated welcome emails based on user type (owner / renter)

  • PostHog → CRM sync to segment users

  • Automated reminders for incomplete profiles

  • WhatsApp & email alerts when a listing is missing photos or pricing

  • Monthly rentability report sent automatically to bike owners

2. Operations & Marketplace Management

  • Fraud detection checks based on velocity, location patterns, bike photos

  • Alerts when a booking looks suspicious

  • Automatic enrichment of bike listings (brand/model parsing)

  • Automatic user notifications (renewals, updates, damage checklist)

3. Accounting & Regulatory (DAC7)

This is where n8n saved us days of manual work.

  • Sync every booking to our ERP (Dokos → ERPNext)

  • Automatic VAT categorization

  • Generating accounting journal entries via API

  • Sending curated monthly ledgers to our accountant

  • Preparing DAC7 data exports

  • Cross-checking payouts between Stripe and ERP

  • Matching owner payouts with their invoices

This was previously a nightmare for a tiny team — n8n turned it into a predictable pipeline.
