Hi everyone,
I built this workflow around a common problem for small service businesses: quotes remain in a spreadsheet, but follow-ups are inconsistent or forgotten.
The workflow:
-
Reads quote records from Google Sheets
-
Selects only Open or Waiting quotes whose follow-up date is due
-
Uses Gemini to prepare a personalised follow-up message based on the quote details, notes and preferred tone
-
Creates a Gmail draft only—it never sends an email automatically
-
Writes the draft date, status, subject and Gmail draft ID back to the matching spreadsheet row
-
Prevents duplicate drafts when the workflow runs again
For testing, I used four sample quotes. Three were due for follow-up, so the workflow created three Gmail drafts and updated the corresponding three rows. When I ran it again, it created zero duplicate drafts.
I deliberately kept human review in the process. The user can review the recipient, subject and message in Gmail before deciding whether to send it.
I have packaged the tested workflow as a paid downloadable template. It includes the n8n workflow, a Google Sheets-compatible sample workbook, setup instructions, testing guidance and troubleshooting notes.
More information is available here:
I would be interested in feedback from other n8n users, particularly around the duplicate-prevention approach and any additional quote-management fields you would include.
