We are Speak English Institute, an English language school with multiple branches in the UAE. We use Airtable as our CRM and Mailchimp for marketing. We’re looking for an n8n specialist to help us finalize and optimize automations that sync student/lead data between Airtable and Mailchimp.
The goal:
Ensure Airtable records (Contacts table) always have the correct marketing_tags field populated.
Ensure Mailchimp members are always up-to-date with the correct tags, subscription consent, and merge fields.
Remove old/irrelevant tags from Mailchimp when Airtable data changes, so both systems stay in sync.
Technical context:
Airtable automations already send new/updated records to n8n via webhook. (we’ve reached our AT automation runs so will most likely to need to build this in N8N)
n8n workflows fetch and normalize data, batch process contacts, upsert members in Mailchimp, then update tags.
Marketing tags follow a standardized naming structure (e.g., Status: Alumni, Interest: General English, Branch: Dubai, Other: Newsletter, etc.).
We’ve already built most of the logic (split in batches, skip invalid emails, normalize casing, compute MD5 subscriber hash, upsert members, set tags), but are hitting issues with Mailchimp API requests, URL expressions, and tag syncing logic.
What we need you to do:
Review and fix existing n8n workflows (Airtable → Mailchimp sync).
Ensure email normalization, validation, and newsletter consent logic is solid.
Implement correct Mailchimp API best practices (subscriber hash in URLs, upsert member with proper body, GET/SET tags).
Add throttling/wait logic so Mailchimp rate limits are respected.
Ensure Airtable records are updated after successful sync (“Mark success” field).
Make the system robust: handle 404s gracefully (create members if they don’t exist), deduplicate tags, and avoid failed executions.
Deliverables:
A working n8n workflow that runs daily/on-demand, syncing all contacts from Airtable to Mailchimp with correct marketing_tags and consent.
Documentation or short Loom video explaining the workflow structure, key nodes, and how to maintain/update it.
