The actual pipeline, if useful:

  1. Lead sourcing (Apollo.io / Apify)
  2. Email verification (catches invalid addresses before they tank deliverability)
  3. AI research on the lead (LinkedIn activity, company context — not just first-name personalization)
  4. AI drafts the email based on that research
  5. Human review checkpoint before anything sends
  6. Send + CRM sync on replies

The part that actually matters more than the cost savings: deliverability discipline. Cheaper infrastructure means YOU’RE now responsible for domain warmup, SPF/DKIM/DMARC, gradual volume ramp — things the paid tools partially handle for you. Skip that and the cost savings mean nothing because emails never land.

Good question, and the honest answer is that the deliverability layer is where the self-hosted savings usually evaporate in time. The pattern that works on the n8n builds I’ve seen:

  1. Separate sending domain per client, never the primary. Google Workspace or M365 inboxes behind it.

  2. SPF, DKIM (2048-bit), DMARC at p=none first, then move to quarantine once the aggregate reports look clean.

  3. Warmup 2-3 weeks minimum before real volume, and keep it running alongside campaigns, not just before.

  4. Ramp 20-40/day per inbox, randomized send windows, never weekends.

  5. Daily monitoring: bounce rate under 2%, mail-tester spot checks, Google Postmaster Tools.

    The step most people skip is #5, because the paid tools do it for you. If you’re self-hosting, build the daily check into the workflow or it quietly rots.
