This is the scoping and quotation stage. Development has not been commissioned yet.

The scope:
• Read customer quotation requests from one agreed format, initially a text-based PDF.
• Extract product codes, descriptions, quantities and units.
• Match items against a supplied catalogue and approved price list.
• Flag uncertain matches for human review.
• Export an Excel quotation draft.

Prices must come from the approved data. Product substitutions require human approval. ERP integration, automatic email sending and a full dashboard are outside this phase.

I’m looking for relevant experience with n8n, document extraction and Excel/CSV processing.

1. Closest demonstrable work

Today I built, imported, and executed a five-step workflow in n8n 2.38.5. It normalizes structured input, rejects invalid rows, distinguishes an exact duplicate from a conflicting duplicate, simulates a bounded retry and preserves a permanent failure for review. All eight embedded acceptance checks passed. It uses synthetic data and is not a client case study or an RFQ-document project. I can send the workflow export and concise run result by forum DM so you can inspect actual work rather than an unsupported claim.

2. Proposed approach

  • define a strict line-item schema from your sample PDF: RFQ reference, product code, description, quantity and unit;
  • extract the text and validate every row before matching;
  • match exact product codes first, then allow normalized description matching only to propose candidates;
  • send uncertain, missing or conflicting matches to a human-review output and never approve a substitution automatically;
  • join prices only from the supplied approved list, recording its version/source on every line;
  • create an Excel quotation draft with match status, confidence/reason and review flags;
  • test against agreed sample RFQs, including unknown codes, ambiguous descriptions, missing units and duplicate lines.

3. Estimate

Paid test milestone: EUR 300 fixed, two business days — one representative text PDF through extraction, approved catalogue/price lookup and an Excel draft with review flags. If accepted, this amount is credited toward the prototype.

Full prototype: EUR 1,800 fixed in total, five business days after receiving usable samples and written acceptance criteria.

Assumptions: one text-based PDF format, one supplied catalogue and price list in clean Excel/CSV, up to 50 lines per RFQ, and a client-provided n8n test environment. Exclusions: OCR/scanned PDFs, catalogue cleansing, ERP, automatic email, dashboard, multiple document layouts/languages and production hosting. Those would be separately scoped.

4. Ongoing software cost

Expected incremental software cost is EUR 0 when your existing self-hosted n8n and local text extraction are sufficient. If the samples prove OCR or a paid document service is required, I will identify the exact pass-through cost and obtain written approval before using it.

5. Handover

Included: n8n workflow export, supporting source/configuration files, field mapping, test cases/results, deployment notes and a concise operating/recovery guide. Client credentials stay client-controlled.

I am currently validating first client engagements and can provide this non-binding estimate now; any paid milestone would start only after written scope, agreement and my invoicing readiness are confirmed. Hi Rami — the approved price list should be the only price source, with ambiguous codes and units stopping for review.

Relevant work: I built and maintained a Telegram/n8n content workflow with task intake, source retrieval, audience routing and quality gates, alongside source-grounded internal assistant work in my previous role at Reteno. A small Python helper can produce an Excel draft with source references and a separate exceptions tab. Prices would come only from the supplied price list; no automatic substitutions or outbound emails.

Proposed paid test: $75 USD, two working days after sample/scope/payment agreement. One text-based PDF, up to 2 pages / 20 item rows, and a catalogue/price-list sample of up to 100 SKUs. I don’t have a previously delivered RFQ/n8n client project to claim. The closest relevant implementation is Suraci’s Next.js/TypeScript client workspace, including requests, proposals and invoices. If previous personal RFQ delivery is mandatory, we may not meet that requirement.

For something concrete to assess, I built this small synthetic matching demonstration with 10 passing tests:

It uses exact product codes and units, takes prices exclusively from an approved versioned list, flags missing/ambiguous data, and withholds a complete total while review is needed. It does not substitute products. This demonstrates only the matching logic; PDF extraction, n8n orchestration and Excel export are not implemented in that demo.

Proposed paid test: $75 USDC for one agreed text-based PDF layout, up to 50 RFQ lines, and one supplied catalogue/price-list pair. Deliverables would be an importable n8n workflow, extraction and matching code, an Excel draft with a review sheet, and setup/test notes. Target: two business days after reviewing redacted samples and agreeing written acceptance criteria. No work would be commissioned by this estimate alone.

Approach: deterministic PDF text extraction and layout-specific parsing; exact catalogue/price lookup; explicit review rows for uncertain extraction, duplicate codes, unit mismatches and missing prices; Excel draft export. All output remains subject to human approval. Fractional quantities, tax, discounts and rounding rules would need agreement from your samples before fixing scope.

Indicative complete prototype price: $400 total, including the $75 test if you proceed, with a target of five business days after scope agreement. That estimate assumes the same single layout, one agreed catalogue schema and your supplied n8n environment. Final fixed price and timing depend on sample review. No paid AI API is planned for that scope. Existing n8n hosting may have no incremental software cost; any new hosting, subscription or paid service would be separately identified and approved before use. Source, workflow export, tests and handover documentation are included in the agreed deliverable.

The current proof covers the matching and review logic. The paid test would add the PDF extraction and Excel output using one of your redacted samples.

Paid test: USD 300 fixed, two business days. The £280 paid test would be credited in full toward the £420 Phase 1 prototype. So if the test is accepted and we continue with the same agreed scope, the remaining Phase 1 balance would be £140 — £420 total, not £700.

For the £280 test, once you provide representative sample files plus the catalogue/reference data, I’d propose one bounded end-to-end slice: ingest the agreed sample document(s), extract the agreed RFQ fields, attempt matching against the supplied catalogue/reference data, and produce a structured quote-ready output for review.

Before payment, we would agree the exact sample set and fields. Acceptance would be based on the workflow successfully processing that agreed test set, returning the agreed structured fields, and producing catalogue matches (or clearly flagged unmatched/ambiguous items) according to rules we agree in writing. I wouldn’t promise a specific extraction/matching accuracy percentage before seeing representative files.

Target delivery: paid test within 2 business days after receiving the agreed samples/access; full Phase 1 within a further 3 business days after test acceptance and confirmed scope. Any third-party hosting, model/API, OCR or other usage costs are separate and would be identified before I enable anything chargeable. I won’t incur paid third-party costs without agreement.

I don’t have a client case study I can honestly present for this exact RFQ-document-extraction + catalogue-matching workflow, so I’d rather not manufacture one. The purpose of the bounded paid test is to prove the approach on your actual representative files before you commit to the full prototype. I can also outline the proposed workflow architecture in writing once I see the sample format.

When the sample files are ready, send them over with the catalogue/reference format and the fields you need in the final quote output. I can then lock the test scope and acceptance criteria before we proceed.

Hi Rami, I built a new AI-assisted synthetic demo for this evaluation. I do not have a previous RFQ client case study to cite. The workflow JSON, inputs, source/tests and Excel output are ready; this new forum account cannot upload attachments, so please DM an allowed file-handoff route.

The demo actually ran in n8n 2.38.5: PDF extraction, exact catalogue/approved-price lookup and an Excel draft with uncertain lines unpriced. It passed 34 matching/parser tests, two real n8n runs with changed quantities, and an unsupported-layout rejection that created no workbook. The separately formatted Excel preview preserves the native export values; the workflow itself produces a plain XLSX.

Nonbinding estimates, subject to sample review and written agreement:

You can stop there and keep those deliverables. The proposed additional $325 would cover making that same path repeatable across an agreed sample set: a fresh unseen PDF in the same layout, invalid/missing input handling, configurable catalogue/price-list replacement, regression fixtures, setup verification in your supplied n8n environment, and a fuller operating/troubleshooting handover. It adds verification and usability, not ERP, email, a dashboard or a later product phase. If the test already satisfies your needs, there is no reason to commission the additional stage.

  2. Yes: five working days total includes the two-day test, with approximately three further working days only if you choose to continue. Time awaiting samples, access or your review is outside that working time. We would confirm the final limits and acceptance checklist after seeing your files.

Thanks for waiting. I’ve attached the workflow JSON and a JSON-wrapped copy of the Python test file; the forum does not accept .py attachments, so the second file preserves the original filename, run command and complete source.

The attached workflow is a credential-free synthetic proof of the matching, pricing and review logic. The recorded run passed all eight checks in 0.611 seconds. It does not yet implement real PDF extraction or Excel generation; those are part of the paid test.

  • Paid test — USD 300, two business days: one agreed text-based PDF layout, up to 3 pages and 50 RFQ lines; clean catalogue/price data up to 5,000 combined rows; one currency and one Excel output format; plus a fresh same-layout acceptance sample.
  • Phase one — USD 1,500 total: the USD 300 test fee is credited, leaving USD 1,200. It adds reusable mappings, the agreed full catalogue/price configuration up to 10,000 active rows, repeatable Excel output, clearer exception/recovery paths, final acceptance fixtures, deployment notes and operating/handover documentation. Allow about three additional business days after test acceptance.
  • Support: the seven-calendar-day bug-fix period starts when phase one passes the agreed acceptance check. It covers defects against the written criteria, with one revision against those criteria included.
